Job Responsibilities and Duties

  • Manage calendars, schedule meetings, and coordinate travel and accommodation arrangements;
  • Handle incoming calls, emails, and correspondence, ensuring prompt and professional communication;
  • Maintain organized filing systems, both digital and physical, in accordance with firm policies;
  • Liaise with clients, courts, and other stakeholders as required by case or business needs;
  • Open, update, and close client files in line with internal procedures and compliance standards;
  • Prepare and format documentation for client meetings, hearings, and transactions;
  • Track case deadlines and ensure all timelines are met accurately;
  • Assist with the firm’s time recording and management systems;
  • Support client onboarding processes, including KYC and compliance documentation;
  • Oversee office administration tasks, ensuring resources and supplies are efficiently managed.

Experience

  • Minimum A’ Level standard of education;
  • Proficient in Microsoft Word and Excel;
  • Previous experience in a similar role will be considered an advantage.

Personal Skills

  • Highly organized with strong attention to detail;
  • Fluent in both English and Maltese, with excellent communication skills.
