Job Responsibilities and Duties

  • Perform operational analysis of complex investments structures and ultimately coordinate and validate all work delivered by the team ensuring operational work is performed in accordance with internal procedures;
  • Be the point of contact for your clients, capable of identifying and anticipating possible problem areas, accurately measure potential risks, and offer suitable solutions to the client and satisfy their overall needs;
  • Monitor the cash monitoring performed by the Depositary administrator, as well as assisting with differences and anomalies escalated by Depositary administrator, and where necessary, discuss with the client;
  • Perform safekeeping duties to review, analyse, verify and document the assets that are owned by the Alternative Investment Fund;
  • Keep oversight on all the Fund’s activities to analyse, verify and document whether capital calls, contributions, redemptions, investments, divestments, sales, and share purchases are compliant with the law and the rules & procedures as set forth in the Fund’s terms and conditions, prospectus and management, shareholder and/or limited partnership agreements;
  • Generate all reports to present to the client and Fund manager in accordance with the service level agreement;
  • Ensure any new business is taken on in an efficient and timely manner in accordance with the company’s procedures, and set up any new spreadsheets and reports that may be required;
  • Assist with new business enquiries and if necessary, prepare presentations and other useful material for the business development team;
  • Manage the relationships with other service providers in the industry, including auditors, law firms, banks, and central administrators;
  • Perform Due Diligence in respect of depositary customer portfolio and third parties;
  • Manage and help the team to perform and grow;
  • Provide support to the Head of Depositary in the commercial activities and building/expanding internal and external relationships;
  • Implement improvement proposals to improve the organization or the processes of the depositary department;
  • Perform analysis and controls in order to mitigate the risk linked to depositary services;
  • Attend meetings of prospects and intermediaries in order to assist and to present the company and its services;
  • Undertake an annual review of the depositary procedures and checklists to ensure they are current, and where appropriate, update and provide training to junior members of staff;
  • Manage the billing process, by reviewing billing proformas/draft invoices where appropriate, at established frequencies;
  • Escalate any issues/risks arising promptly where appropriate.


  • Hold a University or professional degree in Business, Economics, Finance or Law;
  • Be fluent in English, both verbally and in writing. Other languages are advantageous;
  • Have relevant experience in the Fund industry; experience in a depositary service, Fund management will be considered as an asset;
  • Have solid understanding of the regulatory regimes applicable to both traditional and Alternative Investment Funds, in Luxembourg and preferably any other EU locations;
  • Be able to understand Fund Oversight and Operational (Depositary) processes.
