Our client is a provider of corporate, tax, accounting, business advisory, and administration services.
Job Responsibilities and Duties
- Support the recruitment process by advertising vacancies, screening CVs, conducting initial screening calls, and coordinating interviews with hiring managers and Directors;
- Prepare employment contracts, offer letters, and onboarding documentation, ensuring compliance with company policies and employment legislation;
- Coordinate the onboarding and induction process for new employees, including system access, welcome communications, and induction activities;
- Prepare and maintain weekly, monthly, bi-annual, and annual timesheet reports, ensuring the accuracy of employee data;
- Support the monthly payroll process by generating payroll data, reviewing payslips, and preparing payroll submissions;
- Maintain and update the Employee Cost Database and other HR-related reports;
- Maintain accurate employee records, including HRIS data, personnel files, contracts, certificates, and employee benefits, ensuring GDPR compliance;
- Support employee lifecycle activities, including probation reviews, health insurance administration, and employee benefit management;
- Process employee disbursements, including training courses, subscriptions, and professional memberships;
- Coordinate offboarding activities, ensuring all documentation and procedures are completed accurately;
- Act as a first point of contact for day-to-day HR-related queries;
- Liaise with external entities regarding IIS funding schemes, CPE/MIA accreditation, and other HR-related requirements;
- Promote compliance with company policies, procedures, and HR best practices;
- Contribute to the continuous improvement of HR processes and initiatives.
Experience
- Bachelor's degree in Human Resources, Business Administration, or a related field;
- Minimum of 3 years' experience within an HR Administration or HR Executive role;
- Strong knowledge of HR practices, Maltese employment legislation, and HR best practices;
- Experience with payroll processing and payroll systems;
- Proficiency in HRIS platforms;
- Good understanding of office administration processes and procedures;
- Advanced proficiency in Microsoft Office applications, particularly Excel, Word, and PowerPoint;
- Fluent in English; proficiency in Maltese will be considered an asset.
