Job Responsibilities and Duties

  • Welcome and assist walk-in clients with professionalism and a friendly approach;
  • Manage incoming and outgoing calls, logging and tracking each request to ensure timely resolution;
  • Address client inquiries via phone, email, or in-person, ensuring proper follow-up is completed;
  • Collect required documentation from clients and follow up to support government rebate applications;
  • Provide administrative support to company directors as needed for daily operations;
  • Sort incoming mail and prepare outgoing correspondence and packages;
  • Organize and maintain office files, keeping records current and securely stored;
  • Keep the reception area clean, welcoming, and well-organized;
  • Perform general office duties and assist with additional tasks as assigned.

Experience

  • Demonstrated experience in receptionist, customer service, or administrative support positions;
  • Strong verbal and written communication skills in both English and Maltese;
  • Proficient with Microsoft Office applications (Word, Excel, Outlook) and general computer use;
  • Previous experience managing client documentation for government programs or rebate applications is advantageous.
