Job Responsibilities and Duties

  • Report to Chief Engineering Services;
  • Be the first gate to interact with Clients who are contacting the organization through the official communication channels;
  • Filtering customers’ requests through the tools provided;
  • Provide appropriate feedback both externally and internally where possible and escalate matters accordingly when needed;
  • Follow up with the customers by phone and email on two main project milestones;
  • The client’s readiness for shaft survey;
  • Client’s readiness for installation;
  •  Liaise with the Engineering Design regarding the ever-changing status of client projects, which might impact our material orders, with feedback from clients regarding surveys, to set up appropriate appointments in the engineer’s schedule;
  •  Liaise with the Installations Team Supervisor with requests and queries from the various project sites to be directed, filtered, tackled and escalated (when needed) on daily basis;
  • Circulate weekly priorities, as agreed during operations team meetings;
  • Provide documentation needed regarding weekly project site inspections and ensure that documented checklists are returned to the him/her for processing & approval;

  •  Liaise with the Sales Dept for clear, continuous communication of new projects for which the organization is nominated to conduct;
  •  Liaise with the After-Sales Dept for clear, continuous communication of projects being handed over from Installations to After-Sales and ensure that all information is logged in and for follow up regarding the KPI-related deliverables needed to be submitted;
  • Liaising with the Warehousing for clear, continuous communication regarding the KPI-related deliverables needed to be submitted;
  • Liaising with Production to circulate weekly priorities, as agreed during operations team meetings and for clear, continuous communication regarding the KPI-related deliverables needed to be submitted;
  • Continuously update the ERP system with information of new projects being kicked-off & handed over;
  • Support the Chief Engineering Services with the necessary reports required periodically, using the various tools provided;
  •  Responsible for the general administration of the Engineering Services function;
  •  Support the Chief Engineering Services in both the soft copy and hard copy of documentation management, set up filing structures where required and maintain the general upkeep of ongoing documentation and archiving practices;
  •  Be aware of any health and safety issues and requirements;
  • Liaise with supporting teams on health and safety reporting requirements. Ergonomic techniques to be supported at the office and promoted where deemed necessary;
  •  Attend any training provided by the Company and sit for the respective assessments accordingly;
  •  Maintain customer’s trust relationship by keeping service information confidential;
  •  Follow all company’s filed procedures and protocols;
  •  Any other duties as may be necessary from time to time.

Experience

  • Knowledge and experience in the service field; 
  • Preferably MQF Level 5 Diploma in Business Administration.
